In fact, taking advantage of security loopholes among your company’s employees is one of the most reliable and fastest ways for malicious parties to access your company’s sensitive data. 

How to Protect Your Company’s Email Against Cyberattack

Often times, hackers or other criminals can simply send fake emails – also called “spoofed” emails – purporting to be from a reputable source, which can gain the attention of company employees who then surrender data or even money. Other times, hackers can gain access to your corporate email lists and send out emails to your clients and vendors requesting money. 

Hackers can even pretend to be the CEO and contact employees of your organization with demands such as emergency payments. Read on to learn more about the many different forms of Business Email Compromise, its harmful effects, and how to prevent it from happening within your company.

What is Business Email Compromise?

Business email compromise, refers to a type of cybersecurity infiltration that can occur in a company or business. In a business email compromise, which is also called BEC, malicious parties such as hackers or criminal organizations typically target high-level employees of an organization, such as corporate executives. Hackers may send emails to the executives, in a practice known as phishing. 

Phishing is a fraudulent form of email activity, in which hackers send emails pretending to be reputable companies to obtain information such as passwords, credit card numbers, and even financial payments. In BEC, high-level corporate executives are strategically targeted so that hackers can obtain confidential information and payments from the executives. This can pose significant risks to a company’s operations, both in terms of data loss and financially.

How does a typical email cyberattack work? There are four types of BEC scams which we will discuss in the next section.

Four Types of Email-Based Cyberattacks

There are several types of BEC scams. Hackers can pretend to be an employee in your organization to obtain information from your real employees, or they may be able to access sensitive information, such as a list of email contacts, to request payments from people with whom your company may work. 

Two types of BEC which involve the hackers pretending to be a reputable source are CEO fraud and attorney impersonation. In CEO fraud, the malicious parties pretend to be an executive and contact finance or the human resources department of a company, demanding an emergency payment. Hackers can also pretend to be a lawyer or an employee from a law firm to obtain access to sensitive data – this is known as “attorney impersonation.” 

Other types of BEC scams take advantage of employees’ poor data security practices rather than purporting to be high-profile members of your company. In account compromise, a high-level exec’s email is hacked, and the email address is used by hackers to request payments from clients listed in the executive’s email contacts. Hackers can also steal other types of data, and even steal data from company employees. Data theft can occur in which hackers obtain personally identifiable information (also called PII) from the human resources department, which can be used to plot further cyberattacks.

While these attacks may seem different, the common thread that unites all of them is that they result from poor cybersecurity and safety practices among all levels of employees within an organization. High-level corporate executives are prime targets for hackers because of their stature in the organization and access to confidential data. However, entry-level employees who are poorly trained in email security best practices can also risk clicking on links in emails sent by hackers and unknowingly sending malicious parties your company’s sensitive data, or even their own personal information.

Companies who do not train their employees on cybersecurity best practices, therefore, risk exposing sensitive corporate data, which can not only hurt the business’ bottom line and potentially leak data to competitors, but can cost companies thousands, and even millions, of dollars as they seek to institute damage control. The best way to avoid dealing with the fallout of a BEC, is to be prepared and train employees across your organization – from entry-level employees, to human resources, to high-level executives -- in best practices for maximum email security.

How Can I Prevent Business Email Compromise in My Organization?

The best way to prevent BEC in your company is to utilize state-of-the-art security practices and train employees on email best practices. Make employees aware of the dangers of email phishing and impersonation scams. Remind your employees – whether they are entry-level or at the top of the corporate food chain – that they should never open emails from people that they do not recognize, and should certainly never click on links in emails from unknown senders, due to the fact that such emails can be phishing attempts.

Your information technology staff, can also institute several security practices which make it more difficult for hackers to gain access to your information in general, even in the event of a data breach. Emails should be sent over an encrypted server, so that anyone who can access your internet network cannot read the information being sent over the network. Another important cybersecurity practice, that is now utilized in most secure servers is two-factor authentication, which requires users to input a passcode sent to their email or mobile device to gain access to a website or online service. Two-factor authentication on company email accounts, can make it more difficult for hackers to gain access to company emails. 

Finally, minimize your electronic “paper trail” to make it more difficult for hackers to gain employees’ personal information. Financial information such as W-2 forms and tax forms should also be delivered to your human resources department in person to avoid having sensitive personal information being leaked to hackers. Finally, limit the number of employees who are authorized to disperse company funds, and make sure to set alerts and limit the number of withdrawals from this fund.

1. Use antivirus software - Antivirus software alerts you to malware, spyware or keylogging software installed on your computer. Most antivirus programs also spot phishing scams, which attempt to steal your information by posing as legitimate entities (i.e. your bank). Keep your antivirus software up to date and running this holiday season to stave off cybercrime.

2. Be wary of too-good-to-be-true email offers - If you see an incredible-sounding offer (say, 80 percent off Sephora's new arrivals), check the store's website or CyberMonday.com, a site that lists legitimate Cyber Monday offers. If Sephora is offering the same deal, you know it's legit and you can shop with confidence.

3. Shop securely - Type in the store's actual Web address when searching for deals. For example, go to Macy's site directly when searching for deals instead of relying on a potential scam email or link on an unfamiliar site. A secured Website keeps your data protected so that others may not view it during transmission. Secured sites use https instead of http. If you are trying to check out and you do not see the S there, hold off on your purchase. Someone may swipe your credit card number.

4. Protect your network - Protect your home wireless with a password to stay safe. While you might browse the internet at your local library or coffee shop, don't purchase anything if their network is not secured.

5. Log off, don't just close the window - You bought those stocking stuffers from Target and paid after making sure the page was secured. Don't just close the webpage window, log out of your Target account first. This prevents thieves from stealing your personal or financial information because you left your information logged in.

6. Pay with credit and watch your account - Paying with credit cards is often more secure than a debit card purchase. Keep an eye on your account for fraudulent activity in the days and weeks to come. If you see fraudulent activities, file a claim with the credit card company. Many credit card companies also screen for unusual transactions. So, if someone in Romania tries to purchase $1000 worth of computing equipment, a red flag goes up as this is obviously not consistent with your purchasing behavior. The transaction will not go through and you'll be notified.

7. Update that web browser - Using an old version of IE or Firefox can leave you vulnerable, according to the Chicago Tribune. Protect your finances by updating your browser when asked.

8. Use smart passwords - When signing up as a store customer online, select a strong password that combines letters, numbers and special characters. There are encryption apps you can use to make your password hard to hack, such as KeePass. If you're worried about forgetting an encrypted password, use a memorization tool like Dashlane.

The only way to guarantee that your laptop won't be stolen is to keep your eye on it all the time. Of course that's not always possible. Luckily, there are several ways in which you can reduce the chances of your laptop being stolen and protect your data from being compromised.

To protect your laptop from being stolen, you can use either an alarm or chains to keep it attached to something immobile. Since a large number of laptops are stolen by thieves breaking into offices, you can prevent yours from being stolen by keeping it attached to something solid and immovable. Alarms can alert you or a security guard in the event someone tries to steal your laptop by breaking the lock.

Unfortunately, there are no foolproof ways to protect your data, as a determined attacker will eventually get in no matter the levels of encryption or password protections you use. But you can use a combination of biometric scanners, tracking software, data encryption, BIOS passwords, drive locks, and OS passwords to make it as difficult as possible for a thief to steal your data.

Laptop tracking software will help you recover your laptop only if the thief isn't smart and connects to the Internet. Full Disk Encryption is a popular approach to protecting data. It is inexpensive and easy to maintain, but, like other methods, can be cracked.

A lot of people assume that picking up a virus automatically writes off your computer, calling for a complete reinstall, and starting again from scratch. But it isn't always that bad. Below are some crucial things to do (and not do) if you think your computer has picked up a virus.

1. Don't panic

It might not be that bad. Prepare to sit down and spend some time working out how to get the virus out. 

2. Don't email your friends and tell them all about it 

You should definitely not be emailing attachments while your computer is infected, but it's safer to simply not email at all. For one, you don't want to go sharing your virus with your nearest and dearest, and for two, do you really want to be typing in all your log-in details while you have a virus potentially monitoring every key stroke?

3. Don't log in to personal accounts, shop online, or share any personal information 

You might not think it matters if your virus can get into your Facebook account or email, but that might offer it an easy way to spread to others. Shopping online or logging into online banking will offer the virus (or its creator) everything it needs to carry out identity fraud.

4. Don't plug in external media

Most viruses seize every chance to replicate themselves. By plugging in an external hard drive, you might just be offering your virus the opportunity it needs to hide elsewhere. Then, once you've cleaned your computer up, in goes the external hard drive and you’re back to square one. Worse, if you need your backups from it after you've been forced to re-install, you run the risk of losing access to most of your files. 

Of course, you can't go on like this forever, with no email, no banking, no access to files. But this is only a temporary state of affairs while you get to work cleaning the little so-and-so out. 

5. Do isolate yourself on your home or work network 

The last thing you want is to allow the virus to spread to other computers or equipment on the network. But don't simply unplug your computer from the wall - you'll probably need Internet access to remedy the problem. Switch off file sharing and turn off the network discovery function, which should isolate you but still leave you connected. 

6. Do make sure you have all the updates for your OS 

You may find that the gap in your security that allowed the virus in has already been patched, so making sure you have all the relevant updates will a) remove your vulnerability and b) potentially restrict the virus’s impact and ability to spread. 

7. Do update and run your anti-virus

Once you know your anti-virus is up to date, run a full PC scan to make sure it's clean. If you have had any external media plugged in, keep it plugged in and scan that at the same time, to ensure that the virus has nowhere to hide. To be really vigilant, wait a day or so and re-scan, before you plug anything in. 

If all else fails, there is of course the fail-safe - reinstalling your OS. If you need to do that, remember to be careful with your backups. If you keep your files backed up on an external hard drive that's been attached to the infected computer, chances are you will be re-infecting your computer as soon as you try to access them, so it pays to try and keep your external media out of the virus’s way. Just remember - don't panic, and do try to make sure the virus doesn't get a chance to spread. Computer viruses don’t have to destroy everything, so be sensible and follow the advice above to give yourself a fighting chance.
